Task-Based Email Inboxes

What are task-based email inboxes?

A task-based email account is used for correspondence with an organization. Unlike a personal email account, a task-based email account can be accessed by multiple people.

This means that correspondence can be handled as a team. In addition, it is very easy to arrange for someone to cover for you in handling correspondence in the event of vacation, sick leave, etc.

Forwarding emails to email addresses outside the university is prohibited under the Otto Friedrich University of Bamberg's Terms of Use for Information Processing Systems.

You can request a task-based email account in the IAM-Portal using the self-service option Request Task-Based Data Service. A registered handleis required for the request, as email addresses for task-based accounts are assigned using the format description.handle@uni-bamberg.de erfolgt.

Any team member can fill out the application. The head of the organizational unit must approve the application.

Request for a Task-Based Email Account on the IAM-Portal (Area requiring a user account)

To access a task-specific email inbox, you must be a member of the corresponding security group. Access is granted using your personal username (BA number) and the corresponding password.

As a general rule, no login credentials are provided for task-specific email accounts.

To delete a task-specific email account—for example, because the organizational unit no longer exists or the project has ended—all that is required is an informal email to it-support(at)uni-bamberg.de from the person responsible for the abbreviation used.

Access a task-specific email account

You can either integrate the task-based email inbox into your email program (e.g., Outlook, Thunderbird) or access it via the web interface. To log in, use the credentials from your personal user account: your BA number and the corresponding password.

  • Open the task-related account from your personal account
Go to mailex.uni-bamberg.de and log in with your personal BA number and the corresponding password. Click on the avatar in the upper-right corner. Click on Open Another Mailbox... A dialog box with the same name will open. In the input field, enter the display name or email address of the mailbox you want to open, and then click on Open.
  • Open Now
In the browser's address bar, enter the email address of the account you want to open, in addition to the Outlook Web App (OWA) address.
  • The address will then look like this (replace <e-mail-name> with the name of the mailbox): “https://mailex.uni-bamberg.de/owa/<e-mail-name>@uni-bamberg.de”
  • Please note: This method allows Office 365 users to access a task-specific account. To do so, the user must be added as a member of the corresponding security group.
