Zoom: Meetings and Webinars
What is Zoom?
Zoom is an online video conferencing service provided by Zoom Video Communications.
All members of the University of Bamberg have a Meeting 300 license and can use the service to start video conferences. Additional licenses (for a larger number of participants or for a webinar) can be assigned temporarily through IT-Support.
To use Zoom, go to the following address and log in with your user account from the University of Bamberg (BA number and associated password).

What is a “meeting” in Zoom?
All university members have a license called Meeting 300. This means that up to 300 people can participate in a meeting.
For individual events, a license for up to 500 or up to 1,000 participants can be assigned temporarily. In this case, please contact IT Support.
With the Meeting license, you can conduct classes, meetings, training sessions, and presentations. It enables active participation by attendees, whether in a plenary setting or during group work via breakout rooms.

Who is allowed to use the “Meeting” license?
- Full-time staff and adjunct faculty members at the University of Bamberg (automatically, without the need to apply), with the exception of collaborators and staff members at affiliated institutes such as LIfBi, ifb, etc.
- All students at the University of Bamberg (automatically, without having to apply)
- Part-time staff and doctoral candidates: You can independently enable Zoom access through the IAM portal (logged-in area).

What is a “webinar” in Zoom?
A Zoom webinar is particularly well-suited for large-scale events with a lecture-style format. Participants can contribute in writing via chat or a Q&A section. Speaking is only possible for participants in specific roles or those who have been granted the appropriate permission.
For individual events, a license for up to 500 or up to 1,000 participants can be assigned on a temporary basis. In this case, please contact IT Support.

Who is allowed to use the “Meeting” license?
If you need a webinar license for your event, please send an informal request via email to IT Support, including: the reason for use, the license size (500 or 1,000), the time period for which the license is needed or specific dates for recurring events, and the name and BA number of the person to whom the license will be assigned.
Security and Privacy on Zoom
Because all members of the university are given the option to register for participation, and because a meeting password is automatically generated—which is not embedded in the invitation URL—it is not possible for third parties to gain unauthorized or even unnoticed access to meetings initiated by members of the university.
When setting up a meeting, the group of participants can be explicitly limited to university employees, students, or family members..
The university's Zoom instance is configured so that, when a meeting is set up by a member of the university, video and audio data are transmitted only through servers located in Europe. For technical reasons, this does not apply—understandably—if a person from another region of the world participates in the meeting.
Only user data is stored on U.S. servers. This data is essentially limited to the user's name, email address, and status group, as described above.
In Zoom, end-to-end encryption can be enabled for meetings. Since this security level does not allow the use of certain features—such as breakout sessions, polls, and recording—it has not been set as the default in the University of Bamberg’s Zoom instance; instead, it must be enabled manually for each meeting as needed.
To select end-to-end encryption in the meeting settings, you must first enable the End-to-End (E2E) Encrypted Meetings option in your personal settings at https://uni-bamberg.zoom.us at the bottom of the Security section. You can then specify whether each newly created meeting should be held with end-to-end encryption (and without the features mentioned above) or with enhanced encryption. The type of encryption can then be set individually for each meeting.
Through the registration and login process via single sign-on with Shibboleth, only minimal data about university members is transmitted to Zoom. This consists primarily of the name, email address, and status group. In particular, no passwords are transmitted to or stored by Zoom.
