Set up call forwarding to another phone using the UCC client

Important Notes:

  • These instructions apply to the UCC client for the new phone system.
  • Even if you are using a Snom phone, you must use the UCC client to complete the following steps.

Basics to Get You Started

If you want to forward calls to another phone number, set up what are called call forwarding profiles. You can distinguish between internal and external calls. You can configure settings that apply at all times or only when the person being called

  • is not logged in on the client or phone
  • just got off the phone
  • does not answer the call

Call forwarding profiles are configured in the UCC Client, regardless of whether you're making calls using a Snom phone or a softphone (UCC Client)!

A call forwarding profile can be scheduled to run on the Scheduled Call Forwarding page. Examples:

  • This happens repeatedly when you are redirected to the office on days when you never work.
  • This is a one-time option if you cannot be reached on a specific day after a certain time, or if you can only be reached at a different phone number.

These time profiles are set up once and can then be enabled or disabled manually or on a scheduled basis.

If you want to automatically forward calls to your work cell phone or to another phone number at your organization (such as the administrative office or a team member), then set up

  • a call forwarding profile to
  • Set a time schedule (optional).

Creating a New Call Forwarding Profile

To set up call forwarding, you must define a custom call forwarding profile for the forwarding. First, open the Call Forwarding Profiles section by clicking the icon (phone receiver with an arrow) in the left-hand navigation pane.

  • Click the plus sign to the right of Call Forwarding Profiles to open the window for configuring a new call forwarding profile.
  • For the name, choose any descriptive name, such as “Secretary Call Forwarding” or “Work Cell Phone.”
  • You can set up internal and external call forwarding (depending on the phone's current status).
  • Select the Phone Number option for the corresponding call forwarding setting in your new call forwarding profile:
    • Always: Incoming calls are forwarded immediately.
    • Offline: Incoming calls are forwarded when your phone is offline.
    • Busy/DND: Incoming calls are forwarded when your line is busy.
    • No Answer: Incoming calls that are not answered can be forwarded here by default after a specified time, such as 20 seconds. This time interval can be changed next to the name of the call forwarding profile.

Calls can be forwarded to both an internal number and a national external number, such as your work cell phone.

Call forwarding to a domestic number is generally available for mobile phones. If needed, international call forwarding must be requested through the IAM portal.

Phone number: Specifies the destination number for call forwarding. For calls forwarded within the university, the extension number alone is sufficient (e.g., 1301). For external numbers or cell phone numbers, an additional zero must be included—just as when making a call—for example, 0 0951 863 1333.

Please note:

Since you can also use the UCC client while working from home, you don't need to forward calls to a personal phone number; instead, connect to the university network via VPN and open the UCC client. Then you can make work-related calls from there as well.

Set Up Timing Controls

Go to the “Scheduled Call Forwarding” page by clicking the corresponding icon on the left side of the navigation bar.

For example, if you want to enable the call forwarding profile with call forwarding for tomorrow, click the plus sign to the right of One-time.

  • Enter a title: “Secretary’s Call Forwarding”
  • Select the call forwarding profile you set up earlier.
  • Set the date and time when call forwarding should take effect (for example, tomorrow starting at 12:00 a.m.).
  • Save the settings.

Scheduled call forwarding can be enabled or disabled as needed.

Attention:

Scheduled call forwarding must always be set for a future date.
