General recommendations for the use of email services

Avoid sending emails with large attachments if you do not know the size limits of the recipient’s email server.

When exchanging files with members of the University of Bamberg, please use the IT Service’s file server services rather than sending files back and forth via email. Files are often duplicated multiple times in this way, as emails usually remain in the inbox. Furthermore, you can very quickly lose track of changes and version histories.

If you frequently exchange files with external partners who do not have access to the University of Bamberg’s file server, you can do so by setting up a VC course.

For security reasons, Outlook does not send files with extensions such as exe, html, dll, com, php, js, etc. Furthermore, you cannot be certain how the recipient’s email system will handle such files. Please rename the files before sending them, or send them as ZIP archives.

To send or share larger files or files with extensions such as exe, html, dll, com, php, js etc., you can use the following services:

Gigamove (RWTH Achen)

• Suitable for sending large files on a one-off basis
• A collection of files that can be sent via a folder

FAUbox (University Erlangen)

Via the cloud service, you can-

• set up a permanent authorisation
• a folder can be shared via a link
• an upload form can be created
