General Questions
No, you do not need to hand them in for applying as an exchange student. Your home university has already taken all relevant steps in this regard when enrolling you as a degree-seeking student at their institution. Since you will not be able to receive a degree from the University of Bamberg as an exchange student, you do not need to have your university entry qualifications evaluated once again.
No, you do not need any language qualification certificates to apply as an exchange student to the University of Bamberg.
We require you to have at least either B2 level knowledge of English or B1 level knowledge of German, although, you do not need to show us certificates for this.
Yes, you can switch the websites language by clicking the link titled “EN” in the top right corner next to the log in.

You have to use a passport style photo: The photograph’s size must be 45 x 35 mm without frame. The whole face must be clearly visible, with proper contrast and sharpness. Your face must be well lit, with no flash reflections, shadows, red eyes or masks. The background must be uniform and light-coloured.
Please make sure that you are fully dressed and alone in the picture. Shirtless pictures and group photographs are not going to be accepted.
However, the picture does not need to be the same picture as the one on your ID or passport. A selfie in this style suffices.
Setting up your account
No, please do not fill out the application in all caps, i.e. using only capital letters.
Our office has to re-type all of your information as the system cannot properly process information stated in this manner.
No, please state ALL first and last names as they are spelled on your ID or passport.
We issue official documents, i.e. Letters of Admission, based on the application documents. Your personal details need to match with your identification documents, else they are invalid.
If you need to have the name you are known by be declared officially before university administration, for example if you are transgender or non-binary, please contact us and we will help you start the internal name-change process.
Your last name is your family name, i.e. the name often used in a formal context to address you.
If you are not sure what your last name is, please look at your ID or passport.
If you have more than one last name, please state all last names listed on your ID or passport, even if you do not use them in day-to-day life.
Please do not state academic degrees you do not have.
The academic degree options “Diplom” and “Magister” are German degrees that have been phased out in 2010 since they are the predecessors to the Bachelor and Master system introduced as part of the Bologna Process. These degrees were titles awarded when graduating from a Diplom or Magister degree programme and therefore part of the alumni’s legal title. If you have not been awarded these degrees, please leave this field blank.
Please state your date of birth in the date format DD.MM.YYYY. For example, the date 1st May 2026 becomes 01.05.2026.
The field “Birth name” needs to only be filled out if the name on your birth certificate differs from the one on your currently valid ID or passport. This is the case if you have ever gone through a name change, for example as part of an adoption process, marriage, or deed poll.
If possible, please state the address where you can be reached permanently. The University of Bamberg needs to have an address on file for you in case they need to send you a letter.
Please do not state you home university’s address here!
No, please include ALL citizenships you hold, regardless of whether you have a valid passport/ID of the nations in question.
Please DO NOT state citizenships you do not have as they will appear on your Letter of Admission.
If you have a non-EU and an EU citizenship, please state the EU citizenship in the application.
We need this information because of statistical reasons, as well as to advise you in regard to immigration issues.
Application for Exchange Studies
Please select "winter term 2026/27" as your preferred application semester.
Even if your mobility spans both the Winter Semester 2026/2027 and the Summer Semester 2027, you need to apply for the Winter Semester as it is the start of your studies at the University of Bamberg.
Please select “Austauschstudium" (German for exchange studies) and then your subject.
This field asks for the major you would like to pursue at the University of Bamberg. Please select, if possible, the field that is most similar to your major at your home university. You can research different majors on the internet to see if they are a good fit. If in doubt, please contact the International Office.
Please select “Other higher education entry qualification from abroad (general entry qualification).”
This relates to your university entry qualification. If you have received the necessary qualifications to enrol in a university by graduating high school, please state the final average grade and the date of issue of your diploma. If you received them through passing specific tests, please state the final average grade of this test and the date you have received the final confirmation of passing.
The value entered must be between 1 (A) and 4 (E) according to the German grading system and contain one decimal place. Please only indicate the decimal place with a comma, and not a full stop. 4,0 is the lowest passing grade. 5,0 would be “fail.”

This is the pdf-document that we have sent to you with our application message. Please fill out the first part (Declaration of Consent) yourself and have the second part of the document (Confirmation of the Home University) signed by your home university’s coordinator.
DO NOT sign both parts of the document yourself.
Signatures by students themselves and third parties, as well as typed “signatures” are not going to be accepted. Admission will be denied in these cases.
Only verifiable digital signatures and signatures by hand are admissible.
Due to technical reasons, we have to have this information as data within the system as well to process your application.
The 75€ placement fee is an administrative fee required for the Accommodation mediation service.
Students who do not wish to take part in the preparatory course will have to pay the fee individually.
Students who wish to take part in the preparatory course will not have to pay the fee separately as it is already included in the preparatory course fee.
Your invoice will be sent via e-mail when your Letter of Admission has been issued.
Students who do not wish to receive an offer for accommodation via the accommodation mediation service will not be required to pay the placement fee.
No. The placement fee is non-refundable.
Changing your data after having submitted your application requires you to withdraw the application first. This is only possible until we have started processing your application.
We therefore recommend to carefully and thoroughly read through the summary to check your data before submitting your application.
After submission of application
The status “Valid” means that our office has started to process your application.
Once the status is set to “valid,” you are no longer able to edit your application.
It does not mean that you are admitted to our university yet, only that we have started to look through your documents.
If you receive a request from us to submit documents, it means that there had been some issue with the documents uploaded on the platform.
All requests include a message explaining the issue in your case and what documents need to be submitted, as well as a deadline until when you need to submit them.
Once your status has changed to “admitted,” you have successfully applied to our university and received admission to the exchange programme.
Your Letter of Admission will be available for download in your HISinOne inbox. Once it has been issued, you will receive a notification that a new message is available. In that message, you will then see a link through which you will be able to download your Letter of Admission.
The Letter of Presence is an additional document for the purpose of visa application, confirming the semester times, until when enrolment is possible, whether you will be accommodated via the International Office’s contingent of rooms, and until when you are required to be present in Bamberg.
EU citizens do not receive this document, as they do not need any residence authorisation (visa or residence permit) for their stay in the Federal Republic of Germany.
Applicants are not able to correct the information on issued documents as this would constitute forgery.
If you find an error on your Letter of Admission and/or Presence, please contact the International Office and explain what data is incorrect.
Please note that the International Office does not change your data while processing your application. This means that the error in question is based on the information stated by the applicant.
