Transcript of Records - Frequently Asked Questions

A Transcript of Records (ToR) is an official certificate listing the courses you attended and exams you took during your stay at the University of Bamberg. It includes:

  • Course titles (in English or English/German)

  • Grades (German and ECTS)

  • ECTS credit points

How to Apply:

📥 Receive the Transcript Request Form: You’ll get a WORD file in November VIA EMAIL.

📝 Fill in all your course and recipient information.

📤 Submit the completed form (as a WORD file!) by 01.12.2025 to
transcripts.international(at)uni-bamberg.de

🧾 Ensure registration: Register for exams in FlexNow OR get a Schein from the lecturer.

📬 Transcript will be sent to your home university once all results are in.

Transcript Processing for Exchange Students

  • Transcripts for exchange students are processed manually.
    Grades are taken from FlexNow and entered into the transcript request Word-doc you submitted in December.

  • FlexNow does not send automatic notifications to the International Office !
    Students are responsible for monitoring their FlexNow accounts.
    Access to FlexNow and the University of Bamberg email account remains available for six months after deregistration.

  • Once all grades are visible in FlexNow, students should send a short email to transcripts.international(at)uni-bamberg.de.The transcript will then be issued and sent to the home university within a period of one to two weeks.

  • Exchange students are advised to inform lecturers that grades are required as soon as grading is completed.

  • For courses whose results cannot be entered in FlexNow (e.g. vhb online courses), a Schein is required. If such courses are listed in the transcript request form, students must request the Schein from the lecturer. The Schein must be sent by email to transcripts.international(at)uni-bamberg.de (by the student or the lecturer).

How do I fill out the Transcript Request Form correctly?

  • Use a computer (not a phone/tablet).
  • Do not convert the file to PDF.

  • Provide:

    • Your full name, birth date, home university, and student ID number (7-digit number on your student card).

    • A list of all courses you want included in your Transcript.

    • The email and/or postal address of your home university coordinator (not your own email).

  • Follow the Formatting FAQ(152.8 KB).

What courses should I include in my ToR request?

List all courses for which you:

  • Registered for the exam in FlexNow, or

  • Will receive a Schein (paper certificate from the lecturer).
    Guest auditor courses cannot be included.

How do I make sure a course will appear in my Transcript?

You must register for the exam in FlexNow.
Course participation alone does not guarantee inclusion.
Only courses with an official exam registration or a Schein will appear in your Transcript.

I can’t register in FlexNow. / I’m taking a vhb course. What should I do?

Ask your lecturer for a Schein (printed course certificate).
In case of vhb (online)courses, you will typically receive a Schein automatically.
Forward all Scheine to us via email:
transcripts.international(at)uni-bamberg.de 

I don’t want a course to be listed in my Transcript. What should I do?

You must de-register from the exam in FlexNow within the allowed timeframe.
Then, email us to inform us not to include that course in your Transcript.
If you stay registered and skip the exam, it counts as a “Fail” and cannot be removed.

How will I receive my Transcript?

Your Transcript will be sent:

  • As a PDF scan to your home university coordinator, and/or

  • As two printed hard copies to your home university.

⚠️ Transcripts cannot be sent directly to students due to legal reasons.
Transcripts will only be sent if you have paid all rent due in Bamberg.

I’m staying for two semesters. When should I apply for a Transcript?

If your university wants only one Transcript at the end of your stay, submit the form after the second semester, including all courses from both terms.
Check with your coordinator if you need one or two Transcripts.

I have a deadline for the Transcript to be submitted at my home university. What should I do?

Mention the deadline in your Transcript Request Form.
Inform your lecturers that you need early grading.

Note: We try our best to meet deadlines, but grading depends on the lecturers and semester timing in Bamberg.

The registration for exams is after the ToR request deadline. What should I do?

List the courses you intend to complete in your request form.
You can still include them even if FlexNow registration opens later (e.g., in July).
 

Note: You do not need a Schein if FlexNow registration will be available.

Will my grades be converted to my home country's grading system?

No. The Transcript uses the German system and ECTS grades only.
Your home university will handle any conversion, if necessary.
